AI Resource Guide

Which AI tools to use and how to use them well. Real prompts, real examples, and honest guidance on where the technology is today. AI is a work in progress — it will always evolve.

You won't always get exactly what you want on the first try and that's normal. Think of AI as a collaborator, not a vending machine. Give it direction, react to what it gives you, and refine from there.

⚠ Important — Before You Start
Never upload or paste documents containing sensitive information — including confidential contracts, personal data, financial records, or proprietary business information — into any AI platform. Treat AI tools the same way you would a public forum.
Please review the Wine Institute AI Policy → before using any AI tool for work purposes — it outlines approved tools, data confidentiality requirements, and guidelines for use in meetings.

AI is your 24/7 thinking partner. Beyond simple tasks, use it to brainstorm, research, and make decisions without the need for complex prompts. If something is on your mind, just ask - it's designed to help you find the answers you don't have yet.

Things you can just... ask

"I want to create an interactive quiz for my event — which AI tool should I use?"Tool recommendation
"What's the best way to structure a sponsorship proposal?"Strategic advice
"Give me 10 ideas for a theme for our annual export conference."Brainstorming
"What are the top wine export markets to watch in the next 5 years?"Research & trends
"How do I write a subject line that gets opened?"Copywriting help
"I'm deciding between this platform or that platform for my event — which one is better for [your use case]?"Comparisons
"Can you review this email and tell me if the tone is right?"Feedback & review
"How do wine consumer trends in Scandinavia compare to other key markets for California wines?"Learning something new
"What questions should I be asking when sourcing a venue for a trade tasting in a new market?"Preparation
Tip for research questions: When asking AI about statistics, trends, or market data, always follow up with "Please cite your sources and include the year of the data." Then cross-reference with trusted sources like Google Scholar, Wine Institute reports, or IWSR for accuracy.

Tips for best results

  • You don't need a perfect prompt - a rough question gets you further than no question at all.
  • If the first answer isn't quite right, say so. "That's close but make it shorter / more formal / more specific to wine export."
  • Use AI to pressure-test your own thinking: "Here's my plan - what am I missing?"
02

For internal reporting and summaries, Microsoft Copilot, ChatGPT, and Gemini all deliver clean, structured output without overdoing it. If you're already using Microsoft 365, Copilot is built in - no extra login. Just paste in rough notes (even messy ones) and have it organize and tighten. Paste in your rough notes - even messy ones - and ask it to organize and tighten. This works just as well for monthly update blurbs as it does for reports.

Example Prompt
Please clean up these rough notes into a polished bullet point report. Keep it high level - no unnecessary detail. Make bullet points concise. Professional tone, active voice.

Before & After

Original - rough notes
REORGANIZE BASED ON IMPORTANCE - onbaorded new eductaor from cayman islands marking first caribbean educator - Wokring with VIDEO EDITOR to create masterclasses & Pilot program interviews as additional learnign asset - FINALIZED level 4 press release and working on how to launch/communited with memebr wineries and key stakeholders - working on FINAL iteration of map design...
• Finalized the Level 4 press release; coordinating launch and communications strategy with member wineries and key stakeholders.

• Onboarded a new Capstone educator based in the Cayman Islands, expanding program presence in the Caribbean.

• Progressing the final iteration of the California 3D topographic map design, with large-scale production planned for international reps.

• Working with a video editor to refine masterclass recordings and pilot program interviews as additional learning assets.

Tips for best results

  • Paste your raw notes directly - typos and all. AI handles it well.
  • Use "keep it high level" and "make bullet points concise" as reliable direction phrases.
  • Always scan for double dashes and replace with a single dash or rephrase.
  • If output is still too long, follow up: "Now cut each bullet by 30%."
  • For monthly blurbs: "Rewrite this as 2-3 polished sentences suitable for a newsletter communication."
  • Watch for double dashes and unnecessary emojis — both are common AI tells. Replace double dashes with a single dash and remove emojis unless they feel natural.
03

Ask AI to draft your questionnaire, then paste it into Google Forms' built-in AI to generate it automatically. This works best for simple, straightforward questionnaires - not ones needing precise data or complex analysis. Once responses come in, use AI to summarize the results. From blank page to ready-to-send takes about 5 minutes.

1
Ask ChatGPT
Write your survey questions with a simple prompt
2
Paste into Google Forms
AI auto-builds the form - questions, types, structure
3
Analyze with Gemini
Ask Gemini in Sheets to summarize results

Step 1 - Ask ChatGPT to write your survey

Example Prompt
Please write a 10-question post-event survey for a California wine export conference. I want to understand how attendees felt about the event and how ready they feel to grow their export business. Include questions about: - Overall satisfaction - Quality of speakers and content - Networking opportunities - How prepared they feel to export or expand export sales - What they'd want to see next year Use a mix of multiple choice, 1-5 rating scales, and one open-ended question. Keep questions short and easy to answer.

Step 2 - Open Google Forms and let AI build it for you

1

Go to forms.google.com and click the + button to create a new form.

2

Look for the sparkle / magic wand icon ✦ at the top right - this is the AI button. Click it.

3

A box will appear. Paste in everything ChatGPT gave you and click Generate.

4

Google Forms automatically creates all the questions, sets the right answer types, and lays out the form.

5

Review each question, tweak any wording that doesn't sound right, then hit Send.

Watch: How to create the survey with ChatGPT + Google Forms AI

Step 3 - Analyze the results with AI

When responses come in, Google Forms automatically sends them to a connected Google Sheet (click "View in Sheets" inside your form). Open that sheet, click the Gemini button, and ask it to summarize what people said. No formulas, no pivot tables - just ask in plain language.

Example Prompt
I have survey responses in this spreadsheet from a wine export conference. Can you summarize the key findings? What did people rate highest and lowest, what came up most in the open-ended answers, and what should we focus on for next year based on this feedback?
Watch: How to analyze survey data with Gemini in Google Sheets

Using Microsoft instead?

If your team uses Microsoft 365, the same workflow exists there. Open Microsoft Forms, click the Copilot button, paste your survey questions, and it builds the form. Responses feed into Excel automatically, and you can use Copilot in Excel to analyze the results.

Tips for best results

  • Don't overthink the prompt - just describe your event and what you want to learn. AI will figure out the rest.
  • The AI icon in Google Forms may look like a sparkle ✦ or say "Help me create" depending on your version.
  • Always do a test run yourself before sending - it takes 2 minutes and catches any confusing questions.
  • For open-ended answers, ask AI to "group similar responses into themes" - saves hours of reading through individual replies.

Both Claude and Gemini write strong social media copy - but they have different strengths. Claude tends to give you multiple options at once and leans toward narrative storytelling and personality. Gemini is more restrained and professional, and integrates well with Google Workspace. Try both and see which voice fits your needs.

Example Prompt
Please write a LinkedIn post announcing that California wine exports grew in 2025, with Asia Pacific leading growth. The tone should feel confident and optimistic - not overly corporate. Keep it under 150 words.

Claude vs. Gemini - same prompt, different outputs

Claude - narrative version
California wine has never stood still.

In 2025, exports grew - and it wasn't by accident. Years of relationship-building, market education, and a genuine belief that California wine belongs on tables around the world are starting to show.

Asia Pacific led the way, but the momentum is broader than any one market. From first-time buyers to long-standing partners, the conversation around California wine is evolving.

More to come. 🍷  #CaliforniaWine #ExportGrowth
California wine exports posted strong gains in 2025, with Asia Pacific emerging as a key growth market.

The results reflect sustained investment in market development and a growing global appetite for California's diverse range of varieties and appellations.

We look forward to continued momentum in the year ahead.

#CaliforniaWine #GlobalTrade #ExportGrowth

Tips for best results

  • Ask for multiple versions in one prompt - it's faster than asking one at a time.
  • Give tone words: "confident," "warm," "punchy," "understated." AI responds well to these.
  • If output sounds too generic, add context: who is the audience, what do you want them to feel?
  • Use Claude for first drafts when you want narrative options. Use Gemini when you want something closer to ready-to-post.
  • Before posting, always review for em dashes (—) and excessive emojis — these are common AI tells. Replace em dashes with a regular dash or rephrase, and use emojis sparingly.
05

Claude can transform a plain or outdated document into a polished, brand-consistent Word file - handling layout, hierarchy, color, and structure - without any design software. Give it your content, your brand basics, and a general direction, then refine from there.

Example Prompt
Can you please redesign this document into a clean, professional Word file? Our brand colors are: #013D67 (navy), #258E2A (green), #E89230 (amber), #C4383D (red). We use Avenir as our font (if available), otherwise Aptos. I've attached our logo. Overall look and feel: minimalist and polished. Good use of white space, clear hierarchy, and brand colors used intentionally - not everywhere. No decorative elements. Keep it tight and professional.

Before & After

Original document
Original sponsorship guide document
Redesigned sponsorship guide document

Tips for best results

  • Upload your original document so Claude can reference the content directly.
  • Give brand hex codes and font names upfront - Claude will apply them precisely.
  • Describe what you want, not what you don't want. "Full-width navy banner" is more useful than "fix the header."
  • Expect to go back and forth 2-3 times. Small feedback each round gets you there faster.
06

Claude can take a brief - a Word document, a set of bullet points, or even rough notes - and transform it into a fully structured, designed PowerPoint presentation. You control the content direction; Claude handles the layout, slide structure, and visual hierarchy.

1

Write a brief in Word or paste your notes - key messages, audience, number of slides, tone.

2

Upload the brief to Claude and give it your brand colors, font, and any specific slide requirements.

3

Claude generates a complete .pptx file with slide titles, content, and layout.

4

Review and refine - ask Claude to adjust specific slides, reorder content, or change the tone.

Example Prompt
I've attached a Word document with a brief for a presentation. Please turn this into a polished PowerPoint (.pptx) file. Brand colors: #013D67 (navy), #258E2A (green), #E89230 (amber). Font: Aptos. Audience: California wine export program members. Keep slides clean - one key idea per slide, minimal text. Use a consistent layout throughout. Include a title slide and closing slide.

Example — Creative brief written with AI

This brief for a Capstone California educator presentation was developed collaboratively with Claude. The brief outlines slide objectives, key metrics, and educator takeaways — Claude then used it to build the full presentation.

Tips for best results

  • The more specific your brief, the better the first draft - include slide count, key messages, and audience.
  • Ask Claude to "keep one idea per slide" - it prevents overcrowded layouts.
  • Review the full deck first, then go slide by slide for refinements.
07

Claude can design and build a fully functional, branded webpage from a brief description - no coding knowledge required. You describe the goal, content, and look and feel, and Claude writes the HTML and CSS and hands it back as a complete file. Great for landing pages, program pages, or event pages that need to look polished without a full website build.

There are other platforms that do similar things (Webflow, Framer, Builder.io) but they require more setup and technical knowledge. Claude is the most beginner-friendly - you just have a conversation, refine the design, and at the end you have a file ready to use.

How to use it in WordPress

1

Ask Claude to build the page and specify "use inline styles for WordPress compatibility" - this is important.

2

Claude will give you a block of HTML code. Copy it all.

3

In WordPress, create a new page and switch the editor to "Custom HTML" or "Code Editor" mode.

4

Paste the HTML directly into that block and save/preview. The page will render exactly as designed.

5

Ask Claude for any tweaks - color, layout, copy - and paste the updated code back in.

Example Prompt
Design a professional HTML landing page for our Kickstarter Program for wine importers. Use inline styles for WordPress compatibility. Include these sections in order: 1. Welcome section with our logo and program description 2. Example events from UK and Europe with photos 3. "How We Partner with Importers" section with 3 benefit cards (Event Support, Travel Bursaries, Free Education) 4. Key Resources with 4 download buttons in a 2x2 grid 5. Critical Program Rules - DO's and DON'Ts side by side with checkmarks/X's 6. Warning banner about non-compliance Brand Colors: Navy #013D67, Green #258E2A, Olive #A7B339, Orange #E89230, Yellow #FFBC25 Logo: [URL] · Event photos: [filenames] Design style: Clean, professional, generous white space, rounded cards with subtle shadows, color-coded elements. Use olive green as accent border.

⚠ WordPress users only
Always include "use inline styles for WordPress compatibility" in your prompt. Without it, WordPress will strip Claude's styling and the page won't look right. If you're using any other platform (Netlify, Squarespace, Webflow, standalone HTML), skip this — it's not needed.

Tips for best results

  • Describe the page in sections - Claude builds better pages with clear structure.
  • Share your brand hex codes and logo URL upfront so colors and assets are applied from the first draft.
  • If something doesn't look right, describe what you expected and Claude will fix it - no need to touch the code yourself.
  • If having issues with formatting, copy and paste the HTML code into Gemini to clean it up.
  • Once the page is live, ask Claude to create additional pages that match the same style.
08

If you have a logo, image, or graphic that's pixelated, low-resolution, or just looking rough, ChatGPT can enhance and clean it up. Upload the image and describe what you need - it works especially well for logos where the goal is sharper edges, cleaner colors, and a more polished overall look.

Important usage note: AI should not be used to modify third-party marks or images unless the owner permits us to do so.
Example Prompt
I've attached a logo that is pixelated and low quality. Please enhance it - sharpen the edges, clean up the colors, and improve the overall clarity so it looks professional and high resolution. Keep the same design, layout, and colors. Just make it crisp and clean.

Before & After

Original - pixelated logo
Original pixelated Woodbourne logo
Enhanced Woodbourne logo V3

Tips for best results

  • Always keep your original file - ChatGPT creates a new version, it doesn't overwrite.
  • If the first result changes the design, follow up: "Keep the exact same layout and colors, just improve the resolution."
  • For logos specifically, mention if you need a transparent background.
  • This works for photos too - blurry event shots, old scanned documents, low-res headshots.
09

The goal is simple: take an audio track and turn it into written text. Whether it's a recorded presentation, a masterclass, a podcast, or a video — Turboscribe supports multiple languages, not just English — and converts spoken audio into a clean, accurate transcript in minutes. Once you have the transcript, hand it to any AI to create YouTube titles and descriptions, social media posts, summaries, and more. If you already use Dropbox, it has a built-in transcription feature too.

Step 1 - Get your transcript

1

Go to turboscribe.ai and upload your video or audio file (MP4, MP3, MOV, etc.).

2

Select your language and transcription quality. "Whale" mode is the most accurate.

3

Download the transcript as a .txt or .docx file in a few minutes.

Dropbox alternative: If your video is stored in Dropbox and you're signed in, open the file and look for the "Transcribe" option in the toolbar - no upload needed.
Turboscribe + ChatGPT integration: If you have accounts for both, click the ChatGPT button directly inside Turboscribe to send your transcript there and summarize without any copy-pasting.

Step 2 - Turn the transcript into content

Copy the transcript and paste it into Claude, ChatGPT, or Gemini. One transcript can fuel multiple content types at once - YouTube copy, social posts, summaries, and more.

Example Prompt - YouTube Title & Description
I've pasted a transcript from a California wine masterclass below. Please create the following from it: 1. A YouTube video title (compelling, under 70 characters) 2. A YouTube description (2-3 short paragraphs covering key topics, end with a call to action) 3. A LinkedIn post to promote the video (conversational tone, under 150 words) 4. A short Instagram caption with 3-5 relevant hashtags [TRANSCRIPT] ...paste transcript here... [END TRANSCRIPT]

Example output

Transcript excerpt used as input:

"...I think it's important to think about innovation in relation to sustainability. And I very intentionally split that word in two, because what we're asking is, do we have the ability to sustain these various needs and skills and resources that we rely on? To be sustainable, you have to fulfill three areas - people, planet, and prosperity. Innovation only happens when there is a need. And in this context, California is this uniquely situated place where no other region in the world has the three elements all together in close proximity..."
Claude - LinkedIn post
Innovation doesn't come from comfort.

It comes from need.

That's the thread running through our latest Capstone California masterclass - a conversation about why the wine industry, California in particular, is one of the most compelling places for innovation in the world.

People. Planet. Prosperity. Three things that can't exist independently - and the reason why standing still isn't an option.

Tips for best results

  • Turboscribe's "Whale" mode is slower but significantly more accurate - worth it for important content.
  • You don't need to clean up the transcript before pasting - AI handles filler words and run-ons well.
  • One transcript can become many things: YouTube copy, a blog post, social captions, a summary email - ask for all of them in one prompt.
  • Ask for multiple title options: "Give me 5 YouTube title options, ranging from informative to attention-grabbing."

AI Video Generation

Sora 2 - sora.com

Sora 2 by OpenAI generates short video clips from a text prompt. It's genuinely impressive for creative exploration and communicating a visual direction to a videographer - but still inconsistent for polished professional content. Best used for fun, concept visualization, and directional briefs rather than finished brand video.

Event & Space Design Ideas

ChatGPT + Midjourney - midjourney.com

AI can help visualize event layouts, table arrangements, lighting moods, and decor directions - useful for communicating ideas to a venue or vendor before anything is confirmed. ChatGPT can write a detailed event design brief from your rough notes. Midjourney can generate mood board images from a text description.

Neither replaces a real event designer, but both can save significant time in the briefing and approval stage. Current limitation: precise spatial layouts, accurate room dimensions, and vendor-ready floor plans are still weak spots. The images look great but aren't technically accurate enough to hand to a venue without review.

AI Training Videos

Colossyan - colossyan.com

Colossyan lets you create professional training and explainer videos using AI avatars - no camera, no recording, no studio required. You write a script, choose a presenter avatar, and Colossyan generates a polished video with a human-looking presenter delivering your content.

This is one-directional: the avatar delivers content to the viewer, like a traditional training video. Ideal for onboarding materials, program explainers, consistent messaging across markets, and educational content that needs updating without re-filming anyone.

POTENTIAL USE CASES

Capstone California module introductions or lesson recaps delivered by an AI educator
Export program onboarding videos for new winery members
Consistent messaging for international representatives across different markets
Any training content that currently requires filming a real person

Interactive AI Personas

Anam.ai - anam.ai

Anam.ai takes the concept of an AI presenter a step further - instead of watching a video, a person can have a real, two-way conversation with an AI persona in real time. The AI can answer questions, respond to what someone says, and adapt the conversation as it goes.

This is the interactive version of what Colossyan does. Both use AI personas, but Colossyan is broadcast (one-to-many, like a video) and Anam is conversational (one-to-one, like talking to a person).

POTENTIAL USE CASES

An interactive Capstone educator persona that students or trade members can ask questions to online
A California wine ambassador persona on the Export Program website - visitors ask questions and get real answers
Event stations where attendees walk up to a screen and have a conversation with an AI educator or sommelier
A consistent digital spokesperson that can share key messages in multiple languages

These are ideas to inspire — not tools to use right now.

The pace of AI development means tools in this section could become mainstream production tools within 12-18 months. The goal right now is familiarity - so that when the technology is ready, you already know what it can do.
